Title: Program Operations Administrator

Reports To: Program Operations Team Lead

As Program Operations Administrator, your essential job functions will include the following:

Management of OEM Business Intelligence Information (Approximately30-40% of time)

  • Subject matter expert and main contact to the customer on behalf of Program Management functional area for customer facing Business Intelligence (BI) tool which provides web-based point and click functionality and is utilized by the OEM employees to obtain program data and analytical trends
    • Sole ownership and administration of the BI tool with regards to the customer interface (developing, testing and approving all system enhancements)
    • Collaborate with customers, analyze their needs and manage enhancements to the BI tool
    • Assess future needs and develop long-term solutions, assembling cross-functional teams to prioritize and implement enhancements while maintaining data integrity
    • Develop and implement customer facing reports by gathering requirements, analyzing the information and collaborating with key stakeholders while maintaining a standardized approach to developing enhancements
    • Conduct user training for OEM and internal stakeholders, as well as create and maintain user training guides
    • Assess future needs and work with cross-functional team to prioritize and implement while maintaining data integrity
    • Collaborate with internal stakeholders to troubleshoot and escalate issues as they arise to minimize the impact to the OEMs

Operational Execution of OEM Program(s) (Approximately 40-50% of time)

  • Own and execute against all operational responsibilities to fulfill the terms and requirements of each OEM’s tire and/or maintenance product programs
    • Develop standardized tools, methodologies and business processes aimed at operational efficiency
    • Continually evaluate and document practices and procedures within assigned specialty area(s)
    • Utilize evaluation and analysis techniques to examine and implement opportunities to improve processes, promoting effective communication and efficient program execution
    • Drive execution of operational tasks, collaborate with internal and external stakeholders to troubleshoot and escalate issues as they arise
    • Manage change requests to successful resolution and implementation
  • Complete testing of system as needed for enhancements

Management of Projects Related to Assigned Specialty Area(s) (Approximately 10% of time)

  • Accountable for collaborating with cross-functional areas to implement process improvements and/or drive process efficiency related to assigned specialty area(s)
  • Full project ownership and management of scope, communication and implementation
  • Maintain assigned project deliverables in support of the OEM(s) and enterprise project implementation

Additional Responsibilities

  • Communicate and work with team and cross-functional departments as needed
  • Resolve customer service or program resolution issues as necessary
  • Support implementation of additional projects or initiatives as needed

Other Duties as Assigned

Position Requirements

  • Bachelor’s degree required; degrees in Business, Marketing, Management or a related field are preferred
  • Minimum of 1 year experience in an operational role requiring a high attention to detail, organizational skills, multi-tasking, problem solving and independent judgment
  • Strong verbal and written communication skills are critical to success and are required
  • Attention to detail and thinking systematically are critical to success and required
  • Ability to perform and thrive in a fast-paced environment is required
  • Ability to build, maintain and leverage business relationships both internally and externally is required
  • Proficiency in Microsoft Office (Outlook, Excel, Powerpoint, Word) products is required
  • Proficiency with or willingness to learn Microsoft Access, Visio, and Project is required

Physical Job Requirements

  • Continuous viewing from and inputting data to a computer screen
