Title:                            Warranty Specialist

Reports To:                  Team Lead, Warranty Administration

FLSA Status:                Non-Exempt

As a Warranty Specialist, your essential job functions will include the following:

Data Collection and Processing

  • Enter credits to dealer accounts, printing and matching the invoices.
  • Track credit and denial information for both on/off program customers.
  • Reconcile outstanding claims daily and research differences.
  • Assist with the reconciliation of tire manufacturer credits to the correct G/L accounts.

Customer Service Inquiries

  • Assist Warranty Administration Team Lead in responding to customers with information regarding claim status, including payment or denial information.
  • Assist customers with accurate and timely information to process a claim.
  • Provide accurate and timely responses to Dealer Tire Warranty Distribution Center inquiries.
  • Provide accurate and timely responses to Dealer Tire Carline inquiries.

Supplier Relationships

  • Weekly communication with assigned tire manufacturers to build/sustain strong supplier relations.
  • Utilize Analytics BI reporting to provide simple data/reports to tire manufacturers.

New Business

  • Assist Warranty Administration Team Lead with the implementation of new OEM warranty programs.
  • Assist Warranty Administration Team Lead with the implementation of new supplier warranty programs.
  • Assist in communicating changes to warranty processes to the Dealer Tire Warranty Distribution Center network.

Reporting Requirements

  • Prepare and distribute weekly and monthly reporting to alliance partners or other business groups within Dealer Tire.
  • Run maintenance reports on a regular basis involving data updates and extractions.
  • Translate EDI information received from tire manufacturers into reports used for credit payment processing.
  • Process warranty credits for transmission via EDI with alliance partners.
  • Prepare and process stale warranty claim submissions reporting.

Administrative Duties

  • Monitor performance and service levels with tire manufacturers.
  • Serve as backup to Warranty Administration Team Lead, as needed.

Other Duties as Assigned

Position Requirements

  • High school diploma or GED required, Bachelors degree in Accounting or related field preferred.
  • 2 years+ experience with Excel, Analytic BI reporting, JDE or other databases.
  • Strong communication skills.
  • Strong focus on customer service.
  • Proven ability to work as part of a team.
  • Excellent time management skills.
  • Organization and multi-tasking abilities.
  • Ability to achieve goals independently.

Physical Job Requirements

  • Continuous viewing from and inputting data to a computer screen.
  • Sitting for long periods of time.
  • Ability to stand for long periods of time to complete filing, as required.
  • Travel as necessary, >10%.
