Title:                            Accounts Receivable Specialist

Reports To:                 Accounts Receivable Team Lead

As an Accounts Receivable Specialist, your essential job functions will include the following:

OEM Processing

  • Perform daily EDI reconciliation for assigned OEMs.
  • Apply customer payments and research discrepancies.
  • Prepare weekly credit spreadsheets in support of OEMs.
  • Research and report on orders of various statuses.

OR

Off Program Processing and Collections

  • Conduct collection efforts in a timely manner on assigned accounts.
  • Log, scan and deposit live checks.
  • Process and reconcile daily lockbox and credit card payments.
  • Perform customer support activities including the establishment of credit limits, releasing held orders and processing warranty/customer account payouts.
  • Communicate with customers regarding past due balances.
  • Assist customers with invoice requests and discrepancy resolution.
  • Administer employee, scrap, freight and service billing.

OR

Facilitation of Credits, Cancellations and Order Adjustments

  • Daily verification, processing and tracking of credit return transactions within required deadlines and contractual obligations.
  • Process cancellations and adjustments to Sales orders as requested.
  • Process returned goods authorizations and coordinate returned goods with freight carriers.
  • Process call tags and freight claims.

OR

Address Book Maintenance

  • Responsible for the accurate and timely set up of new OEM Programs Dealer Groups, new suppliers and associates.
  • Coordinate with functional areas to obtain complete information regarding new customer set ups.
  • Assist Accounts Receivable Manager with determining optimal address book set ups for new customers.
  • Complete testing to ensure new customer setups function as required.
  • Serve as a backup for address book set-ups, updates and upload functions.
  • Understand and be able to articulate the impact of changes/modification to the JDE Address Book.
  • Complete all updates in an accurate and timely manner.
  • Invoice validation for assigned suppliers.
  • Perform miscellaneous invoicing for OEMs (e.g. offshore freight).
  • Backup for returned goods authorization processing.

General Duties

  • Assist other AR associates as needed.
  • Communicate effectively verbally and in writing as appropriate for the needs of the audience.
  • Work independently and manage one's own time.
  • Participate on projects as assigned.

Reporting

  • Prepare monthly aging of receivables report and comments for management review as assigned.

Other Duties as Assigned

Position Qualifications

  • High school diploma or GED required, Bachelor’s degree in Accounting or related field preferred.
  • Strong communicator and team player with a focus towards customer service.
  • Excellent time management skills.
  • Foundational knowledge of Microsoft Outlook, Word and Excel.
  • JDE (JD Edwards) experience a plus.

Physical Job Requirements

  • Continuous viewing from and inputting data to a computer screen.
  • Sitting for long periods of time.
  • Travel as necessary (<10%).
